ST. ROSE/ST. MARY JOINT COUNCIL MEETING
November 20, 2007
St. Rose Rector

Chairman Carol Hogen called the meeting to order at 7:45 pm.

Present:  Kris Stilen, Norb Link, Dennis Finger, Frank Stilen, and Lynn McGinty from St. Mary.  Julie Cornelius, Dan Gast, Chris Lukoski, Joe Jaskolski, Neil Burton, Cathy Schauder, Deacon Tom Joswiak, Curt Ignacio, Anne Beggs from St. Rose, and Pat DeGroot..

Chairman Hogen led opening Prayer.

Agenda was approved: M/S/C Burton/Ignacio.

Open Forum: nothing was brought up.

Committee Reports:

Joint TCE:  Gast reported that they met today and are currently in the process of reviewing existing policies and procedures for the school and this process will take four to five months to accomplish.  Tuition policy was the first policy under discussion and is currently being reviewed for changes.  TCE is reviewing Xavier School policy as a guide to formulate ideas on changes to payment methods and refunds.  Youth Ministry has formed a youth choir and is planning to volunteer for Salvation Army bell ringing for the holidays.  School budget and the need for expanded financial information was discussed.

Pat DeGroot gave Deacon Joe Lehman’s report for the Worship & Spirituality Committee:  No Living Nativity this year.  They would like to offer the idea of following up on guests who sign the guest book at St. Rose to the Human Concerns committee.  Maybe thank them for coming to visit us.  They are still discussing a ministry fair.  Possible collection of needed items for Alaskan Mission.  Also, Communion distribution was discussed.

Deacon Tom Joswiak:  Primary ministry of the deacon is the cup.  Perhaps it should be in the bulletin. 

Stewardship Committee will be active again, but for now it is dissolved.

The staff put together a bulk mailing regarding stewardship.  It will be in the mail next week.

Christian Service:  Burton reported that the committee gave out 120 pins on Veteran’s Day to veterans as well as their widows.  Hardship Fund, Thanksgiving Fund, Goodfellows, Food Pantry need clarification.  There will be a reverse collection for the Goodfellows; the listed items will be passed out the weekend of the 24th of November.

Pat DeGroot:  Staff meeting was this afternoon.  Christmas schedule – working on getting two ministers.  St. Mary can hold 375 downstairs.  In 2006 the 4:00 Mass had 500-600 attendees.  Not enough room for everyone at St. Mary’s.  Staff is trying to find a second priest in order to have two 4:00 pm Masses.  Plan B is to hold the 4:00 Mass at St. Rose.

People from the Holy Land were very pleased with the support from both parishes.

Finance:  Cornelius reports that TCE asked for support in hiring a part-time teacher.  Classes are too big.  They will need $7,500 for the second semester of the school year.  They feel they can raise the money from SCRIP program and Alumni.  That would increase their fund raising from $40,000 to $47,500.  They have a $2,000 profit from the SCRIP program already so far, so that’s doing very well.  Ray Zehren left $2,000 in his estate to the church.  $1,000 for Building Fund and $1,000 for General Fund.  There are 20 students in the combined 2nd and 3rd grades; 26 students in the combined 4th and 5th grades.

Pat DeGroot reported that Mary Rose Morse, acting principal, injured her back – herniated disc – and will have surgery tomorrow.  She will need two weeks to recuperate.  Dennis Finger pointed out that an administrator needs to be on the premises to take her place.  Right now, Pat is it.

ST. ROSE PARISH ANNUAL MEETING

October 20, 2007

Pat DeGroot opened the meeting at 5:15 pm in St. Rose Church.

Present:  Paul and Sandra Brulla, Anne Beggs, Dawn Peeters, Bob Tomashek, Fran West, Sister Sandy, Lori Peterson, Jackie Fandrey, Dawn Kratzke, Randy Weddig, Tom Jozwiak, Jim and Nancy Green, Betty Torborg, Mary Putzer, Tony and Rita Schumacher, Ellyn and Tom Dercks, Mary Hohensee, Father Jim, and Pat DeGroot. The Parish Pastoral Council Chair and Vice Chair are unable to attend their Tuesday meetings.  Council member Carol Hogen submitted a report stating that the year has been spent transitioning and restructuring.

Parish Director, Pat DeGroot has been here seven weeks and stated she found good staff and committees; that the parishes have gone through a lot.  Her main goal is to get to know everyone through the staff and by attending Pastoral and Finance Council meetings and other committees.  The school principal, Mary Rose Morse, is out of town and couldn’t attend, but the school is super and going well.

Religious Education: coordinator, Dawn Kratzke, reported that she is pleased with the catechist group this year: they are enthusiastic and have positive attitudes.

Youth Ministry:  Lori Peterson said that last year her group did a lot of fun things.  This year they are building relationships.  Lori and Fran Egan with the help of the youth ministry group reorganized the Youth Room.

Adult Faith Formation:  Sister Sandy is enjoying the 10 to 12 people in the group.  She holds these discussion groups at different times.  She also leads the RCIA group and has at least two each year.  She is pleased that two of them are confident enough to actively participate in the church by being an usher and chairing the Finance Council.  She is open to suggestions for other group discussions.

Total Catholic Education:  Lisa Kuss was absent.  Her report was in the printed Annual Report.  Pat stated that she was happy to see that some members are meeting with Joe Bound and there were signs that they are moving ahead.

Home and School:  Cheryl Seelig was absent.  The committee’s report was included in the printed Annual Report.

Joint Fellowship/Human Concerns:  Jackie Fandrey stated that this is the fourth year they have joined with St. Mary Parish.  They have met some social needs locally and beyond; Lenten projects - reverse collections have worked very well.  Cradle Project for the Pregnancy Information Center; Request for yarn from Red Granite Corrections Institute ended up with the Institute members giving back the items they finished with the yarn.  Sold roses on Mother’s Day thus earning $679 for the Wisconsin Right to Life organization.  They updated the parish brochure with Todd Lukoski.  They sold items by “Work of Human Hands” through Catholic Relief Services.  Welcome new families with homemade bread and a bible verse.  Coordinated the tribute to Veterans in November, annual joint parish picnic, and more.

Stewardship:  This committee will be reactivated this year.

PCCW:  Anne Beggs reported specific goals which are to support liturgical needs: specifically, paying for the wine and hosts as well as supplying Baptismal Gowns, providing labor for funeral lunches.  Helping children get Catholic education through tuition aid, helping two children attend Christian summer camp at Camp Tekawitha, offering assistance to members in time of sickness and misfortune, supporting parish, community and beyond with spiritual and physical needs.

Building & Grounds:  Dawn Peeters reported the installation of a water meter so sewage tax is not included in the water bill; lockable thermostats for positive control of heat and air conditioner in church.  They also replaced the foldable tables with lighter ones for ease of handling; replaced mechanisms of the restroom faucets in the church.  They are also working on reorganizing the contents of the garages for the church and rectory.

Cemetery:  Bob Tomashek reported that he has been manager of the cemetery for four years.  The committee has conserved grass-cutting expenses by contracting with the City to use their labor and equipment.  They are setting up a process through which plot owners can bring their complaints and concerns to the whole cemetery committee rather than to the manager only.  They have had 55 funerals the last four years.  This fiscal year they have had 12 burials and sold 6 burial spaces.

Worship:  Randy Weddig stated that his job changes as our presider changes and adjustments are always necessary.

Finance:  Fran West reported that there was a 4% increase in envelope contributions this past year.  Because of unexpected expenses for the unmet balance for the Bishop’s Appeal and added staff and technological improvements, there was a budget deficit again.  Therefore we had to borrow another $29,000 to cover these expenses.  Goal for finance is to encourage all to be better stewards. We should “need to give – not give to a need.”

Financial Analysis:  Tony Schumacher explained the graphs in the report.

Question was raised regarding school closing rumors.  We are assured that the school is alive and kicking and very active.  They still have needs, but steps are being taken to meet those needs.  Strategic Planning Meetings are to help Total Catholic Education and with Joe Bound’s help, the goals should be set after a couple more meetings or so.

Father Jim’s Comments:  He is thankful for the warm welcome he received as Priest Moderator.  His job as Priest Moderator is to attend the parishes’ annual meetings, sign legal documents, and pray for us.  The Diocese is very concerned about our parishes and Bishop Zubic found Pat DeGroot to be a good spiritual guide, qualified and experienced.  Since there are not enough priests to go around, a number of parishes have a Parish Director instead.  Our parishes were deemed strong enough to weather not having a pastor.  He told us to be patient, to offer it up, and make allowances.  The Diocese sent some people to help advice us on certain matters.  We should seek to bond with St. Mary Parish.  Continue caring and forgiving one another.  He is glad to hear what committees do.  Each committee should write a letter to the bulletin to let people know what they are doing.  It is okay to ask for help when something extraordinary comes up.  The best way to keep the school open is to have kids and recruit students.  Find the kids to keep it going.

A.     Finance – Norb Link

1.      Boiler Update – Finance Council approved repair of the         church boiler

2.      Roof repair/Parish Center -  Finance Council approved the repair, with costs estimating approximately $4, 482

3.      Stained Glass Windows Sealing – this project is on hold until the boiler and roof repair for the Parish Center has been completed.     

B.     T.C.E.  – Jean Peeters

1.      Scrip Program – made $approximately $600 to date.  The parish needs more education about the program.

2.      Adult RCIA – Sessions will start 10/15, with Sr. Sandy.  Possibility of adult education classes during the CCD classes at St. Rose. 

3.      Virtus Program – certification required by Diocese for  lay people working with children

4.      St. Rose/St. Mary School – as a volunteer, Jean is impressed with the quality of the school program, need to recruit more students – currently have 73 students (including Pre-K)

5.      Fundraisers – are on schedule, earned approximately $3,000 from pizza sales.

 

C.     Worship/Spiritual Life – Deacon Joe

1.      Advent Handouts – for adults and family

2.      Chalice – refurbish or purchase new chalice for St. Rose/St. Mary due to damage of cross

3.      Upcoming events – Advent, Ministry Fair

 

D.    Fellowship/Human Concerns Committee (formerly Social Concerns) – Joan Olmsted

1.      Fr. Chad Everts Mass – Mass and reception was well attended at St. Mary’s on August 12th. 

2.      Welcoming cards – currently working on

3.      Hardship Fund – the joint church picnic held at St. Mary’s brought in $119.00 for the Hardship Fund

4.      Respect Life Projects – For the month of October, the rosary will be said before the Masses, an ad will be placed in the Compass, Cradle donations

5.      Crop Walk – earned $500.00

 COUNCIL/TCE/FINANCE MEETING

  6:30 pm St. Rose Cafeteria

Vice Chairman for St. Rose Pastoral Council, Shannon Seelig, called the meeting to order at 6:40 pm.  Father Len Evers led us in praying the Our Father.

Open Forum:

Lisa Kuss distributed a two-page list of fundraisers for Home & School for approval by the Pastoral Councils.  This included “Cook’s Choice” to be started in September which Fr. Len approved at this time since the next Council meeting would not meet until the third Tuesday in September (19th).  She also gave each attendee a copy of a letter to school parents informing them of changes in the school positions, etc. 

There was discussion on the date and time of committee meetings.  It was decided to keep the already set schedule of the third Tuesday of each month for the Finance and Pastoral Councils.  September meeting will take place at St. Mary’s: 6:15 pm for Finance Councils, 6:45 pm for other committees, and 7:30 for both Pastoral Councils to occur simultaneously in different rooms.  The Director will be asked to be at the home parish’s meeting at 7:30 pm, and the visiting parish’s meeting at about 8 pm.  Each parish will take turns “hosting” the meetings, e.g., even-numbered months at St. Rose, odd-numbered months at St. Mary.  Other committees may set their own schedules, but shall send reports to the parish office to be included in the Pastoral Council member’s packets as soon as possible but no later than the Friday before the third Tuesday of each month.

No committee reports were brought forward.

Administrator’s Comments

Fr. Len said that the group is getting along much better now than when he first started meeting with us.  He also said we had a Parish Director, Pat DeGroot, who will start on September 7th.

Old Business

Approval of Fund Raisers:  Council will check with Parish office before approving any fund-raising efforts to ensure all requirements are met.

New hires:  Ms Mary Rose Morse will be the new 25-hour a week principal; Pre-Kindergarten teacher will be Ms Leah Wojnowiak; First Grade teacher will be Ms Barbara Berard to replace Ms Van Daalwyck who has accepted a first-grade teaching job at Rexford-Longfellow.

Mary Hohensee distributed handouts and then spoke about Elementary School Planning and School Analyses for St. Rose/St. Mary for the 2005-06, 2006-07, and 2007-08 years.  Mary also said there will be training available for council members in the near future.

The meeting adjourned after a closing prayer by Fr. Len Evers at 7:52 pm.
