St. Rose Pastoral Council Meeting

St. Rose Rectory, November 4, 2008
MINUTES

 

Meeting was called to order by Vice Chair Joe Joskolski at 7:33, and was opened with prayers supplied by Parish Director, Pat DeGroot.

Present: Pat DeGroot, Joe Jaskolski, Anne Beggs, Joe Lamia, Neil Burton, Fran West-Tomashek, and Leeann Little.

Absent:  Dan Gast, Curt Ignacio, Jim Kluz, Carol Hogen, Tom Jozwiak, and Joe Lehman.

Quorum was established.  Agenda and Minutes were approved. 

Committee Reports:

§        Finance – the Diocese has chosen new accounting software for all parishes; it will be internet-based and provide capability for maintaining parish data records as well as accounting.  The improved sound system is being installed.  Sister Shawn Madigan will be handling liturgy; Sr. Judy will be interim Pastoral Associate.  Both will be living at St. Mary’s rectory.  Ellyn Dercks will handle scheduling of choirs.  We will be staying within the budget with the addition of Sister Judy and Sister Shawn.  Finance and Building & Grounds are making progress on developing standard operating procedures for B&G.  B&G is not responsible for day-to-day maintenance but periodic and annual maintenance.  They will work on a five-year plan.

§        TCE – their meeting was not official due to lack of quorum.  On the subject of celebration of SRSM Schools (125 years for SR, 118 for SM), they plan to invite Bishop Ricken who is available February 14th.  Probably will be held at the Bowling Alley (also for Catholic Schools Education Week).  Waiting to hear from the Bishop’s office.

§        Worship & Spiritual Life – Ellyn Dercks will be temporary leader.  They are discussing moving the Crucifix to behind the altar.  Joe Lamia is the new liaison for this committee.  Joe reported that the Worship Cmte would like to participate more actively in the Council through their liaison.

§        Stewardship – Jim Kluz is absent.

§        Human Concerns – Sister Judy will be asked to be responsible for Hardship Fund decisions.  Veterans were recognized at all three Masses and refreshments offered after the Masses November 8th & 9th.  Second collection will go towards a brick and the rest to help with the Clintonville Veterans Memorial Fund.  They will send out cards to homebound for all holidays and graduated students from the last four years for Christmas, Valentine’s Day and Easter.  The Committee will again do the reverse collection for Goodfellows.  A container will be in the Gathering Space for this purpose.

§        Parish Organization – Beggs has nothing new to report.

§         PCCW - Leeann stated that parishioners donated more towards Lick Domestic Violence Campaign than ever before - $195.  It was held the weekend of October 25th and 26th.  Hunters’ Bake and Soup Sale will be November 15th and 16th.  PCCW will coordinate the social after the ecumenical prayer service November 26th to be held at St. Rose.

Parish Director’s Comments:  Ellyn Dercks is scheduling musicians, ministers and the music.  The schedule for the Holidays will be in the Bulletin.  Sister Shawn will be free to join us after December 2oth, Sister Judy November 10th.  Both will be part time but will adjust their time according to our needs.  Advancing the Mission:  St. Rose $80,350 pledged, $22,551 paid in.  After $25,000 for Bishop’s Appeal, the rest will be split up between Diocese and Parish.  There are two new additional microphones for the choir.  Workers should finish job on sound system in a couple of weeks; meanwhile they are storing the lift in the coat closet.  B&G is having work done on the front porch and back deck of the rectory.  May have to slant the deck 45 degrees for draining purposes and possibly rubber sheeting.

Concerns were brought up about the function of Pastoral Council.

St. Rose Parish Council Meeting
October 14, 2008, St. Rose Rectory
Minutes

Meeting was called to order by Chair Carol Hogen at 7:32, and was started with prayers supplied by Parish Director, Pat DeGroot.

Present: Pat DeGroot, Carol Hogen, Joe Jaskolski, Anne Beggs, Curt Ignacio, Jim Kluz, Joe Lamia, Neil Burton and Leeann Little.

Absent:  Dan Gast, Fran West, Tom Jozwiak, and Joe Lehman.

Quorum was established.  Agenda was approved.  Minutes were approved.

 

Committee Reports:

  Finance – Pat reported in Fran’s place.  The church sound system was damaged in June by an electrical surge from a storm.  The B&G and Finance chair Bill Kupsky met with sound technicians and determined that it was advisable to upgrade the sound system at this time.  This installation was approved by Finance; insurance will cover part of the cost.  Removal of each tree at the cemetery costs about $600; dirt pile at cemetery is being removed; volunteers will assist in survey of new gravesites.  Money needs to be budgeted to help cemetery meet its 2009-10 expenses.  Progress is being made with defining duties and responsibilities of B&G through meetings with Finance.  A report will be provided to Parish Council as requested as soon as all duties, responsibilities and standard operating procedures have been defined.

TCE – Pat reported in place of Dan Gast.  Lisa Kuss has the TCE chair again.  A policy for RE and day school was put together over the summer to allow TCE to send a note to delinquent accounts.  They approved installment payments over a period of time.  Some payments have trickled in; some have made no attempts whatsoever.  They thought they might have to send the accounts to a collection agency or to an attorney.  They decided to ask Doug Malueg if he would take care of the accounts where no attempts have been made to pay.  One suggestion was to treat each as a unique individual case, and final decision would be at the discretion of the principal and Parish Director.  Discussion on the function of the Pastoral Council – if TCE will decide something this important before advice from Council, why is Council here?  Before implementation, each committee should make Council aware if such policy will affect the entire parish.  There are 80 students this year including three-year-olds through sixth grades.  The RE program is still missing one teacher.  Adult Discussion Groups are ongoing.  Joe Lamia asked for the percentage of students who are delinquent on their bills.  How old are the delinquent bills?  Leeann Little asked that TCE not act on anything until it has been brought before Council.

Worship & Spiritual Life – Joe Lamia is the new liaison for this committee.

Stewardship – Jim Kluz -  the committee hasn’t been formed.

Social Concerns – Neil Burton’s one-year term was up and he had not planned to re-up, but changed his mind when asked; he will serve another year.  The committee has $1300 in the Hardship Fund.  They would like approval to have a second collection October 25-26 for Crop Walk.  Due to Domestic Violence collection that weekend, Council suggested they try November 1-2 instead.  They also want approval to have a second collection for the Veteran’s Memorial Fund.  After discussion, consensus was yes.  They want to change their name from “Social Concerns” to “Human Concerns.”  There will be a Veteran’s Day recognition at the Masses on Nov 8-9.  They placed a Pro-Life ad in the Oct 3 issue of the Compass.  They will communicate with PCCW re “Work of Human Hands,” and who will be in charge of socials.  They will continue to host Veteran’s Day socials, new members socials, and the joint parish picnics.  There were eight new families in the parish.  Reverse collection will be Nov 15 for Goodfellows and Homebound parish members.

Parish Organization – Beggs stated not all committees have reported their schedules, but those that have are on the monthly calendar posted in the church bulletin board and outside the Parish Meeting Room.  Still having problems posting them on the website.

PCCW – Leeann Little reported that there was a very good turn out for their first potluck meeting Oct 7.  Final Steak Fry is Wed, Oct 14.  Oct 25/26 will be the annual collection for Lick Domestic Violence, and Oct 30 members will attend Vicariate IV meeting in Wautoma’s St. Joseph’s parish.

Parish Director’s Comments:  Pat discussed the departure of our Liturgist, Randy Weddig, and Sister Sandy, our Pastoral Associate.  She stated that it would be necessary to find interim personnel before hiring permanent staff.  It was suggested at St. Mary’s Council that we have been overstaffed.  Randy’s decision to work in public school resulted in his working 20 hours per week at St. Rose.  Vicky Maslanka is temporary sacristan since Randy left.  Pat distributed position descriptions for both Randy (20 hours/week) and Sister Sandy (40 hours/week).  It has been brought to her attention that Sister Judy Miller of Navarino is just finishing her sabbatical.  She and Sister Sean Madigan, both of Green Bay Diocese, are not working at this time and might be available to fill in for Randy and Sister Sandy in the interim.  Consensus was to go ahead and hire them temporarily. $78,000 has so far been pledged towards Advancing the Mission.  There are no final figures on the Fall Festival as yet.

The next meeting will be at 7:30 on Tuesday, November 4th, at St. Rose Rectory.

ST. ROSE PASTORAL COUNCIL MEETING
Tuesday, September 2, 2008
St. Rose Rectory

Parish Director, Pat DeGroot opened the meeting at 6:55 with a prayer in which both St. Mary and St. Rose members participated.   All members were introduced.  Present were St. Rose – Pat DeGroot, Tom Jozwiak, Carol Hogen, Joe Jaskolski, Anne Beggs, Curt Ignacio, Fran West-Tomashek, Dan Gast, Jim Kluz, and Leeann Little.  Absent excused were Joe Lamia and Neil Burton.  St. Mary – Joe Lehman, Tom Neely, Bill Klegin, Bill Flanagan, Norb Link, Don Hartleben, and Dennis Finger.   A notebook was passed around for everyone to write in his or her name, telephone and email address.

 Pat spoke about today’s culture: how materialistic we are, how the “perfect body” and sports are the most important goals/interests of a lot of people.  She mentioned Mark Mogilka, head of Pastoral Councils, and his talks on conversion of hearts.  We should follow Christ’s example and be counter-cultural.  At the staff meeting they discussed how to carry out the parish mission as set out during the Strategic Planning meetings.

She stated that both parishes need to be more welcoming by recognizing Christ in each other, promoting unity between the two parishes by better communication, wiping out negativity and promoting positive thoughts.  We should be grateful that we have Father Jack as our celebrant each weekend.  We should be open to receive and act upon what inspiration offers.  Pat suggested that we follow Sister Sandy’s idea to be friendlier by introducing ourselves to those persons around us before Masses.

The calendar for the year was discussed.  A Fall Regional Leadership Workshop for members of various Parish Committees are being offered free of charge at different venues in the area September 23rd through October 2nd.

The joint meeting adjourned at 7:55 and St. Mary Pastoral Council members were excused.


Chair Carol Hogen called the St. Rose Pastoral Council meeting to order about 8:00.

Present for St. Rose Pastoral Council were: Pat DeGroot, Tom Jozwiak, Carol Hogen, Joe Jaskolski, Anne Beggs, Curt Ignacio, Fran West-Tomashek, Dan Gast, Jim Kluz, and Leeann Little.  Absent: Joe Lamia, Neil Burton and Joe Lehman.

Agenda was approved; minutes were read and approved.

Committee Reports:

Pat reported that Dawn Peeters of the Buildings and Grounds committee could not attend the meeting, but that Pat spoke to her at length on the telephone and everything had been ironed out.  B&G’s main concern was that if someone has a project that has to do with their budget, they should communicate with B&G before going ahead with that project.  There was a long discussion about B&G’s budget not getting approved for the last five years.  B&G had to go to Finance for approval of each individual project.  Curt Ignacio strongly suggested that the next meeting between B&G and Finance produce a documented report on the process of how B&G’s budget will be approved, and a report of same be submitted at the next Pastoral Council meeting.

Finance:  Fran West-Tomashek reported that the bequests made to St. Rose during the past year are now available to our parish.  Representatives from Finance will meet with B&G to establish best practices for handling B&G budget, etc.  Ignacio stated that we will need a written report next month.  Fran also reported that it is increasingly difficult for St. Rose cemetery to be self-sustaining; volunteers will be sought to help with current projects such as leveling dirt pile, surveying and marking gravesites, and tree removal.

TCE:  Dan Gast reported that they are still organizing and their meetings have been scheduled.

Worship & Spiritual Life:  No report.

Stewardship:  Jim Kluz  - Stewardship committee is still not organized.

Christian Service:  Burton was absent.  They did have a meeting and plans are for a Veteran’s Day Recognition and reception on Nov 8/9; Goodfellows and Homebound Reverse Collection Nov 15 through Dec 15.  The Cradle project will be held in January 2009.

Parish Organization:  Beggs reported some computer incompatibility with the Webmaster, but hopes to overcome the problem soon.  Most of the committees are reporting their scheduled meetings.  Calendars for September, October, November, and December are posted on the bulletin board in the school hallway outside the Parish Meeting Room and will be updated as needed.

PCCW:  Leeann Little reported that they have six meetings during the 2008-09 year and this schedule has been forwarded to the coordinator.  However, due to scheduling conflicts, they have had to change some of their meeting dates.  On September 6th, two members are attending a Vicariate IV Executive Board Meeting in Waupaca; Sept 6/7 they will sponsor a social for Advancing the Mission Weekend and a welcome for Jennifer Wood, our new RE Director.  Sept 17 they will be working at the American Legion Steak Fry.  Sept 18, members will be attending the Waupaca County Federation of Church Women in Weyauwega.

Open Forum:  Festival raffle tickets were discussed.  Catholic Schools Week and 125th Anniversary kick-off were mentioned.  Advancing the Mission goal is 150% of annual collection or $450,000.  The Sound System’s representative will attend the next B&G meeting.  New Director of Religious Education is Jennifer Wood.  She and three of her children are staying at the rectory until they move into their permanent residence.

Chair Carol Hogen adjourned the meeting at 8:40 pm. 

The next meeting will be October 14th at 7:30 pm at St. Rose Rectory.
